Kwipps

Which emails does a hotel guest receive, and when?

An acknowledgement for a request, a confirmation (with their page, online check-in and any deposit link), the arrival details the day before, and — if you switch it on — a review request after check-out.

Updated 27 September 2026

Kwipps writes to your guests in the language they booked in (English, German, French, Spanish or Italian), with your hotel's name in the subject.

The emails, in order

  1. The acknowledgement — straight after a request from your website: thank you, we will confirm by email, with a summary and the link to their page. Not sent when the stay is booked at once.
  2. The confirmation — when you confirm (or at once, if free rooms confirm themselves): the stay, your check-in and check-out times, the link to their page, the online check-in link, and the card deposit link when one is due.
  3. The decline — if you decline, with your telephone number so they can try other dates.
  4. The arrival details — the day before arrival: your address, how to get in, the Wi-Fi, your house rules, and the check-in link if they have not used it.
  5. A change or a cancellation from you — when you tick the box to tell the guest.
  6. A review request — two days after check-out, if you switch it on.

Choose what is sent

  1. The arrival details: Console › Policies › For arriving guests › Email these the day before arrival (on unless you untick it). To send them now, open the stay and press Send the arrival details now.
  2. The review request: tick Console › Policies › After the stay › Ask for a review two days after check-out. It is off unless you switch it on, and it needs your Google review link under Console › Settings › Links. Every email has a one-click "don't ask me again", and a guest who says no is never asked again.
  3. A stay you take yourself: tick or untick Email the guest a confirmation in New stay.
